AI Pathway ("AI Pathway," "we," "us," or "our") is committed to protecting your business data. This Privacy Policy explains what information we collect, how we use it, and what controls you have.

This policy applies to all users of the AI Pathway platform at aicfo.aipathway.co and the marketing site at aipathway.co.

Summary: We collect the data we need to run the platform. We do not sell your data. We do not use your financial data to train AI models without your consent. You can request deletion at any time.

1. Information We Collect

Account information: Name, email address, company name, and billing information when you create an account or subscribe.

Financial data from integrations: When you connect QuickBooks or other accounting software, we access your financial records — including transactions, invoices, job costs, payroll summaries, and chart-of-accounts data — for the sole purpose of generating reports and insights within the platform.

Usage data: Log data including pages visited, features used, queries submitted, and AI output interactions (accepted, edited, or rejected). Used to improve the platform and diagnose issues.

Communications: Emails and messages you send to us directly.

Contact form submissions: Name, email, company, and message content submitted through aipathway.co.

2. How We Use Your Information

To provide and operate the Service, including generating financial reports and AI insights
To process payments and manage your subscription
To send service-related communications (account activity, invoices, support)
To monitor platform performance and diagnose technical issues
To improve AI output accuracy by analyzing aggregated, de-identified usage patterns
To respond to inquiries submitted through our contact form

We do not use your identified financial data to train AI models without your explicit written consent.

3. QuickBooks Integration

AI Pathway accesses your QuickBooks data through Intuit's authorized OAuth API. This means:

You authorize access directly through Intuit's secure login flow
AI Pathway reads data only; we do not write to or modify your QuickBooks records
You can revoke our access at any time through your Intuit account settings at accounts.intuit.com
Revoking access does not delete your AI Pathway account or previously generated reports

Our use of data obtained through the Intuit API complies with Intuit's developer terms and data policies.

4. Data Sharing

We do not sell your data. We share data only in the following limited circumstances:

Service providers: Cloud infrastructure (hosting, database, email delivery) that we use to operate the platform. These providers are bound by confidentiality obligations and cannot use your data for their own purposes.
Payment processing: Stripe or similar processors handle billing data under their own PCI-compliant policies. We do not store full card numbers.
Legal requirements: If required by valid legal process (subpoena, court order) or to protect our rights, we may disclose information. We will notify you where legally permitted.
Business transfers: If AI Pathway is acquired or merges, your data may transfer to the acquiring entity, which would be bound by this policy.

5. Data Security

We apply industry-standard security practices to protect your data:

Encryption in transit (TLS) and at rest for all financial data
Tenant isolation: your data is logically separated from other clients
Access controls: only personnel who need data to operate the platform can access it
Audit logging: all access to financial data is logged

No system is perfectly secure. If we become aware of a breach affecting your data, we will notify you within 72 hours.

6. Data Retention

We retain your data for as long as your account is active. If you cancel your subscription:

Your account and data are retained for 30 days to allow for reactivation
After 30 days, your financial data and account are permanently deleted
Backups are purged within 90 days
You can request immediate deletion at any time by emailing

7. Cookies and Tracking

We use minimal cookies necessary to operate the platform (session authentication, security tokens). We do not use third-party advertising or behavioral tracking cookies. Analytics, if used, are limited to aggregate, anonymized usage data.

8. California Privacy Rights (CCPA)

If you are a California resident, you have the right to:

Know what personal information we collect and how we use it
Request deletion of your personal information
Opt out of the sale of personal information (we do not sell personal information)
Non-discrimination for exercising your privacy rights

To exercise these rights, email with "California Privacy Request" in the subject line. We will respond within 45 days.

9. Children's Privacy

AI Pathway is a business platform. We do not knowingly collect information from anyone under 18. If you believe a minor has provided us data, contact us and we will delete it promptly.

10. Changes to This Policy

We may update this policy periodically. We will notify you by email at least 14 days before material changes take effect. The "Last updated" date at the top reflects the most recent revision.
